View Full Version : Childcare Receipt - Now or Yearend?

Hello,
I have a parent ask for receipts for childcare however my daycare software print them out at the end of the year and I also find if they are requested now and given there are good chances they will lose them and request them again.
Is there anything stating that I am required to give them the receipts now or do I have the option of giving them the receipts at year end?

My contract states I give receipts at the end of the year or when a family leaves care and all fees are paid. Why are they requesting them now? Are they going to try and leave without paying?

I give a receipt with each payment as proof that a parent did pay me. I use a book from staples or even the dollar store if they have them in the day I need one. It makes duplicates so I have a copy too. I also give a printed statement page with my contact info on end of January. I only give the tax receipt then. If a family leaves early they are told to email me in January with where they would like their information sent.

I get paid every 2 weeks and each child has a separate sheet for their payments. I write down the date, amount paid, how it's paid (cash, cheque etc) and both I and the parent initial it. Than at year end or when the family leaves my care I write out a receipt. I've had one or 2 parents who've lost the receipt over the years so I now ask if they want it now or mailed out at the end of the year.

No, there is nothing stating when you have to issue day care receipts. There is separate legislation which states that everyone is entitled to to a receipt for any payments they have made.
It's your business - you can issue receipts as payments are made or you can issue them at the end of the year in a timely manner for them to do their tax returns.
Like you, I do mine at year end for the very reasons you give. The only exception is if someone leaves and then I make sure their year-to-date receipt is available on their last day.
