Trying to be nice !!!

I had a family start in September , I was newly opened and inexperienced . They wanted part time care to start and eventually full time . September was spent texting I finally said if payment is not received I was filling their spot ! So they started October part time payment run around ! She forgot the cheque at home , cheque now was in her car at the garage blah blah ! I said do not bring him unless with cheque , so next day paid !
November she was in a car accident , dad came with check on right day for November but then began arriving early and staying for 10-15 min and picking up late . When confronted , mom texts well aren't you open those hours ? I explained yes but not to your family !! But it continues , because mom still not working I just let it go to be nice !
Dec payment , dad says he will come with it that night , then mom will come with cash , then mom cancels and days tomorrow they will meet up with me . Saturday arrives no contact , I text them and she wants to negotiate price ( I took 2 extra days off with Christmas and she doesn't want to pay even though she knows I charge a flat rate )
So I said no more , no payment today we are finished , and she is crying and says it's all too much , so I say very nice to meet your family bye bye !
So I get a text on Saturday she needs income tax receipts ( which I already handed out up to November which was their last month )
She claims she never got them , I had them in a sealed envelope in pocket of diaper bag ! Pointed them out to grandpa picking up dcb, said what they were , told him important parents get it , he says sure everything great !
So now I feel like I'm done !!! But should I reissue a duplicate ? Or just let it go ?

yes just photocopy your copies of the receipts. Write on them that it is a duplicate receipt. Send them in the mail and done!

I charge $25 to issue a new receipt ......

Oh that's smart to charge a fee for a duplicate! Will be adding that to my contract! I've only had to issue one duplicate but for future it will be good.

So photo copies are fine for tax purposes ?? I thought they would not accept photocopied ?

When I issued a duplicate, I gave another receipt but wrote "duplicate" on it and than gave both to my accountant.

I have given photocopies before. Nobody ever complained.

Hey all....just curious why it matters if you give a duplicate receipt or why you charge for it? I have always emailed receipts. Parents don't even need an actual receipt to claim fees.

So does she owe you money? If so, tell her to come to your house with money owed and you will provide her with the copies of receipts and tell her you will forfeit the charge for providing a duplicate receipt.
If she doesn't owe you, tell her to come on the last day of February and you MIGHT have the receipt ready........if you haven't left it in the car, or at someone else's house or your husband accidently has it.....give her a taste of her own medicine.:glare:

Wonderwiper, for me I would charge for the inconvenience. I have given you a receipt, you should be responsible enough to not loose it. Plus now I have extra paperwork to hand in to my accountant as well. It's not a HUGE inconvenience but if you are writing out duplicate receipts multiple times it would get annoying quickly. (at least to me, but I have no patience lol) Also, some people give out their SIN number (which I do NOT do and do NOT recommend but to each their own) and if you lost your receipt with my name and SIN on it I would be ticked off!

I don't know so these are just my assumptions/guesses..please correct me if I'm wrong!! 1. email receipts are probably fine but if the family gets audited would they not need a hard copy receipt or can they just print off your email? 2. photocopies could be not accepted because if a couple is divorced can only one parent claim the childcare? Photocopies would essentially allow both parents to claim it? If you know the answer to these questions please let me know :)

Hi! Thanks for answering...none of those things ever occurred to me!

I give a yearly receipt only so no paperwork at all. I make a little Word file that gives parents the total for the year. They can print it off if they want or if they use an accountant. It doesn't matter how many copies there are, the receipt has the child's name on it, not the parents. If divorced parents tried to both claim, that would be their fraud problem not yours. A similar example would be the receipts I get for activities my daughter is registered for. They email me a receipt as I can claim for the child fitness tax credit. I can print 20 copies but that doesn't mean I can claim 20 activities.

DH is an accountant and I asked him about your question this morning to double check what I thought.

I know it would be their problem not mine but I thought maybe that is why RC doesn't accept photocopies? I am not sure though as I don't even know if RC does or doesn't accept them :)

Names on receipts....I have never put the child's name on mine. Should I be? I just put that xxx has paid me xxx amount for care during xxx time and I date and sign it.

I have a receipt book that I got at staples that has duplicates.... So I put the parents name at the top and then in the middle section where it says description I write "daycare for xxxxx " and I put the months it covers like jan -dec 2013 ...... Then the top copy goes to the parents and the dupe goes to my acct..... If the parent losses it and I have to make another I write duplicate on it .... Just for my own piece of mind

I only put the child's name on the receipt. I don't know that it matters....just makes it easier. Many parents shuffle expenses around on their taxes to get the best outcome. So Mom may physically write the cheque but Dad can claim it to lower his taxes etc. You can write a receipt on a napkin in lipstick for all RC cares, ha ha!

A parent does not actually need a physical receipt from you for tax purposes. It helps us and them keep organized but they can claim expenses without the receipt. If they get audited all they would have to prove is payments to you. Yet another reason why I don't understand the providers that don't give receipts!

I appreciate that your husband is an accountant Wonderwiper but you absolutely do need a receipt for payment for daycare. I have had two daycare parents be audited over the years. One was about 5 years ago and the other was last year. The first parent was given specific instructions on what should be included and the other needed a copy of the receipt as she never kept hold of it in case she was audited. The receipt must have the parents name on it of who will use the expense to claim, the name of the child, the time period in question, amount paid and the name and address of service provider and location care was provided. As I said this has happened twice where the CRA were quite clear on what had to be on the year end receipt. I don't believe we need a year end receipt if we supply monthly or weekly receipts but those details must be included otherwise if you are audited then you will require a rectified replacement.

I am not offering professional advice to anyone obviously. My point about the receipts was simply that it didn't matter how many copies were given out. For the record, my sister has been audited every year for the past 6 years as she works here and overseas. She uses her cancelled cheques as proof of daycare payment. She provides the contact details of her babysitter (she uses an occasional sitter) and the cheque stubs to the auditor. I presume they are then matched with
what the provider has claimed. I was simply mentioning the lack of receipts as a side comment about providers that don't give them and that it is possible for parents to still claim.

I will have to add the child's name and my address from now on. I just put both parents names on the receipt and they can do what they like with it.

I do the same as you 5 Monkey's. Both parents name, amount, dates that the receipt covers and I just write daycare on it. Haven't had any issues. I have had 2 parents audited once. The only think I had to give them was my SIN No.

I've had a parent claim that I didn't give them a receipt. I make them sign now. That way if they ever come back at me and tell them that I didn't give them a receipt, I can show them where they signed that they received it on my copy.

I do that as well Jenn. They initial all payments made and they initial when they get their year end receipt.
